Quick Start Guide

Get your EPOS system ready for service.

A practical first-day setup guide for connecting the hardware, signing in, taking your first sale, and finding the back office tools you will use most.

Connect the equipment

Receipt printer (USB), cash drawer, barcode scanner and network - Ethernet or Wi-Fi.

Sign in

Open epos247, choose your business/device if asked, then enter your staff PIN.

Take a test sale

Add products, press Pay, choose Cash or Card, and check the receipt prints.

Before you start

Set the terminal and printer on a stable counter with room for paper changes, drawer access and cable routing. Most peripherals connect by USB, so keep a couple of USB ports free on the terminal.

Connecting your peripherals

Receipt printer - USB

Connect the printer to the terminal with the USB cable and plug it into power. Load the paper roll so it feeds from underneath and out through the cutter, then switch it on.

Cash drawer - Cash Drawer / RJ11 port

Connect the drawer to the receipt printer using the RJ11 (telephone-style) cable, into the port labelled Cash Drawer or DK. The drawer opens automatically on cash sales.

Barcode scanner (if required) - USB

Plug the scanner into any spare USB port on the terminal. It works straight away - there is nothing to install.

Network - Ethernet or Wi-Fi

Connect the terminal to your router with an Ethernet cable, or use Wi-Fi (see the next page). The terminal must be powered on and online for epos247 to load.

Power on and open epos247

Switch on the terminal and wait for Windows to finish loading, then open the epos247 POS app.

On the back of the receipt printer

Printer or drawer not working?

On the till, open Options > POS Settings. Set the Receipt Printer to Xprinter (USB) and the Cash Drawer to Serial Port, then choose COM6.

Tip: if the app shows a connection warning, check Wi-Fi/Ethernet first, then restart the printer and terminal. epos247 Quick Start

Connect to Wi-Fi (Windows 11)

Do I need this page?

If the terminal is connected to your router by Ethernet cable, it is already online - skip straight to signing in. Follow this page only if you are connecting over Wi-Fi (standard Windows 11 terminal).

Connect to your Wi-Fi network

Tap the network icon

At the bottom-right of the taskbar, tap the network (Wi-Fi) icon in the system tray.

Choose your network

Tap your Wi-Fi network in the list, then tap Connect. Leave "Connect automatically" ticked so the terminal reconnects on its own next time.

Enter the password with the on-screen keyboard

When it asks for the password, tap the keyboard icon on the taskbar to bring up the on-screen keyboard. Type your Wi-Fi password, then tap Next.

Wait for Connected, then open epos247

Once the network shows Connected, the terminal is online. Open epos247 and sign in as normal.

If epos247 has already opened

If the terminal opens epos247 before you have joined Wi-Fi, tap the Power button at the bottom-right of the staff sign-in screen to exit to Windows. Join Wi-Fi as above, then open epos247 again.

Sign in and check the basics

First sign-in

Business login

Enter the business email and password supplied during setup. If the app remembers the account, it may skip this step.

Choose business or device

If you manage more than one business or device slot, select the correct one from the list.

Staff PIN

Enter your 4-digit staff PIN. Manager functions may ask for a manager PIN again later.

Setup checklist

Terminal powers on and opens the epos247 app.
Receipt printer is online and has paper loaded.
Cash drawer cable is connected to the printer.
Card terminal is powered and ready to take payments.
You can sign in with a staff PIN.

Useful notes for staff

  • Each staff member should use their own PIN.
  • Manager-controlled actions may request a manager PIN.
  • If the app asks you to choose a device, select the named till you are using.
  • Training mode may be enabled on some systems with a separate PIN.

First-day checks

Run one low-value cash test sale and confirm the drawer opens.
Run one card test or recorded card sale and confirm the payment method is correct.
Reprint the last receipt from the POS printer options.
Check Back Office > Reports > Transactions to confirm the test sales appear.

Take your first sale

Make a sale

Add items

Choose the product group and category, then tap each product. The basket appears on the right.

Check the basket

Adjust quantities, add notes, apply a discount, or attach a customer if required.

Press Pay

Choose Cash, Card, or Other. If the payment pad is enabled, use the amount keys for cash tendered and change due.

Complete payment

Take the card payment or cash, then complete the sale. A receipt can print and cash payments can open the drawer.

Table or bar tab sales

When tables or tabs are enabled, select the table/tab first, add items, then use Store to save the order for later. Use Pay when the customer is ready to settle.

Receipt options

Use the printer button for Print Last Sale, Print Current Sale, or Send Order Ticket when kitchen printers are configured.

Before payment: quick corrections

Wrong itemTap the item in the basket and reduce the quantity or remove it.
Wrong quantityUse the quantity controls on the basket line. Check the total before pressing Pay.
Customer changes mindUse Cancel Sale or clear the basket before payment. Manager permission may be required.
Need a billUse the printer button, then Print Current Sale to print a bill before payment.

Cancel, refund and reprint

After payment: Sales Review

Use POS > Options > Sales Review, select the sale, then choose the action needed.

RefundCreates a negative refund sale against the original items. Use this when money is being returned.
CancelMarks the completed sale as cancelled and writes correction lines. Use this for duplicate or wrong sales.
PaymentChange the recorded payment method if the wrong method was selected.
PrintReprint the receipt for the selected sale.

Manager approval

Refunds, cancellations, drawer opening, discounts and sale edits can be restricted in the back office. If the POS asks for authorisation, enter a manager PIN or ask a manager to approve the action.

Where corrections go

Corrections and cancelled sale lines appear in Back Office > Reports > Corrections. This gives managers an audit trail for mistakes and changes.

Customer gets money backUse Refund.

Printers, drawer and back office

Receipt printer

Open Back Office

Go to Settings > Printers.

Add or edit printer

Choose the printer type: receipt, kitchen, bar, label, or other configured destination.

Choose connection

Use network IP/port 9100, USB/Windows printer, Bluetooth, serial/COM, or Xprinter where applicable.

Test print

If it fails, check power, paper, USB/Ethernet, printer IP address, and that the printer is on the same network.

Cash drawer

Cable first

Connect the drawer cable to the receipt printer DK/Cash Drawer port unless your installer has supplied a direct COM/OPOS drawer.

Back Office setting

Go to Settings > Printers > Cash Drawer and select the drawer method.

Test opening

Run a cash sale or use Open Drawer if available on the POS function bar.

Access Back Office

Open the back office from a browser or the app shortcut supplied during installation. Sign in with the business login. Use the left sidebar to open Product Setup, Reports, Staff Management and Settings.
