Delete Your Account

This page is published by Basicly Ltd, trading as epos247, the developer of epos247 POS, epos247 Waiter, Stock247, Rota247 and Loyalty247. It explains how to have your account and its data deleted.

There are three kinds of epos247 account, and they are deleted differently. Pick the one that describes you.

  • A business account — you run a venue and use epos247 POS, Waiter, Kitchen Display, Kiosk, Stock247 or the back office.
  • A Loyalty247 account — you are a customer collecting stamps and points at venues that use epos247.
  • A Rota247 account — you work at a venue that uses epos247 and you sign in to see your own shifts.

Business accounts — epos247 POS, Waiter, Kitchen Display, Kiosk, Stock247 and back office

These apps are used by a business to run its own tills. The account belongs to the business, so we delete it on request from the person who owns it rather than from inside the app — a single member of staff tapping a button should not be able to erase the whole venue's records.

How to request deletion

Email sales@epos247.com from the email address the epos247 account is registered to, with the subject epos247 account deletion request. Tell us your business name.

We check the request against the registered owner address and delete the account within 30 days. We ask you to email from that address so that nobody else can delete your business's data.

If you are a member of staff rather than the account owner, ask your manager — they can remove your staff record from the back office straight away.

What gets deleted

  • Your epos247 sign-in — name, email address and password.
  • Your business's data held in epos247: products and prices, staff records and PINs, customer records, bookings, tables, stock, and your sales and reporting history.
  • Images you uploaded, such as product photos and your logo.
  • Your registered devices and their settings.

What we keep, and for how long

We keep our own billing and correspondence records — invoices, payments and support history — where we are required to for accounting and tax purposes. Those are records of our dealings with you as a customer, not your trading data.

If you are on a free trial and simply stop using it, your data is retained for 30 days after the trial ends so that you can pick up where you left off, and may be deleted after that. See section 7 of the Terms. Emailing us as above deletes it sooner.

Card payments are handled by your payment provider, not by us. We never hold card numbers, so there are none to delete — ask your provider about their records.

Deleting one customer rather than the account

If one of your customers asks you to remove their details, you do not need to delete your whole account. The owner or a manager can delete that customer's record in the epos247 back office, under Customers.


Loyalty247 — the customer app

You can delete your Loyalty247 account yourself, at any time, from inside the app. If you no longer have the app installed, you can ask us to do it for you.

Option 1 — In the app (immediate)

  1. Open the Loyalty247 app and sign in.
  2. Tap your profile icon in the top corner.
  3. Scroll down and tap Delete Account.
  4. Read the confirmation, enter your password, and tap Delete My Account.

Your account is deleted straight away and you are signed out. This cannot be undone.

Option 2 — Ask us (within 30 days)

Email sales@epos247.com from the email address your Loyalty247 account uses, with the subject Loyalty247 account deletion request.

We will confirm the request against that address and delete the account within 30 days. We ask you to email from the account's own address so that nobody can delete someone else's account.

What gets deleted

  • Your Loyalty247 sign-in — your name, email address and password.
  • The record of which businesses your account is linked to.

What does not get deleted

Each business you have visited keeps its own customer record about you — your stamps, loyalty points, club account balance, bookings and your purchase history with them.

That is the business's own record of your trade with them, and the business is the data controller for it. We host it on their behalf and cannot delete it for them. To have it removed, contact the business directly and they can delete it from their epos247 back office.


Rota247 — the staff app

Rota247 is used by staff of a business that runs epos247, to see their own shifts, holidays, tips, to-dos, memos and clock-in history. Your Rota247 sign-in belongs to you, and you can have it deleted at any time.

Two separate things are easy to confuse here. Your Rota247 sign-in is yours. Your staff record — the shifts you worked, holiday requests, clock-in times, tips and your staff photo — belongs to your employer, who created it in their own back office.

Option 1 — In the app (immediate)

  1. Open the Rota247 app and sign in.
  2. Scroll to the bottom of your staff screen.
  3. Tap Delete account.
  4. Read the confirmation, enter your password, and tap Delete my account.

Your sign-in is deleted straight away and you are signed out. This cannot be undone.

Option 2 — Ask us (within 30 days)

Email sales@epos247.com from the email address your Rota247 account uses, with the subject Rota247 account deletion request.

We will confirm the request against that address and delete the sign-in within 30 days. We ask you to email from the account's own address so that nobody can delete someone else's sign-in.

What gets deleted

  • Your Rota247 sign-in — your name, email address and password.
  • The record of which businesses your sign-in is linked to.

You will no longer be able to sign in to the Rota247 app or to rota.epos247.com.

What does not get deleted

Your employer keeps its own staff record about you — your shifts, holiday requests, clock-in and clock-out times and any locations recorded with them, tips, to-do lists, memos and your staff photo.

Those are your employer's employment records, and your employer is the data controller for them. We host them on their behalf and cannot delete them for them. Employers also have their own legal reasons to keep some of it, such as pay and working-time records. To have your staff record removed, speak to your manager — they can delete it from their epos247 back office.
